Qualifications

Bachelor’s degree or appropriate certificate of training preferred.

 

A minimum of one to three years of experience required in bookkeeping or accounting, business accounts, typing, financial reports.

 

Must be proficient in Microsoft Office 365, (specifically Excel and Word) advanced skills preferred. The ability to learn new technology and software applications quickly is required.

 

Excellent customer service, communication and organizational skills required.

 

Must be able to use a ten-key proficiently.

 

Must be able to manage time efficiently and meet critical deadlines.

 

Must be detail-oriented and possess the ability to problem-solve.

 

A high level of confidentiality is required.

Essential Job Functions

 

  1. Greet and welcome individuals who come to the Finance or Bursar office.

 

  1. Prepare employment contracts as needed.

 

  1. Responsible for understanding the payroll system. Perform routine payroll functions on a rotational basis and provide backup to the Payroll Clerk.

 

  1. Responsible for understanding the Bursar system and serving as backup to the Bursar as needed.

 

  1. Responsible for understanding the accounts payable process and serving as backup to the Accounts Payable Clerk as needed.

 

  1. Process invoices for accounts receivable and maintain and monitor records concerning outstanding balances and payments as well as collection efforts and submitting to collections.

 

  1. Monitor vendor accounts for correct charges, credits, etc. and process refunds accordingly.

 

  1. Prepare federal reports quarterly and file claims for reimbursement with proper authorities and agencies and see that such claims are paid.

 

  1. Prepare, invoice and claim Lottery Grant or other grant funds.

 

  1. Process travel reimbursements according to current travel policy and/or guidelines.

 

  1. Maintain employee’s automobile insurance policy file and monitor for any employee claiming mileage as pertaining to policy.

 

  1. Review vendors, request and maintain finance documentation requirements, such as W9’s, certificates of insurance, etc.

 

  1. Post inter-departmental charges and maintain files.

 

  1. Audit livework tickets and notify the appropriate instructor/supervisor when discrepancies are noted.

 

  1. Prepare lease agreements for the Business and Entrepreneurial Services tenants as requested. Notify the BES Support Specialist of insurance expirations and lease expirations. Add rent charges and monitor rent collections.

 

  1. Reconcile PELL and Activity Fund Bank Accounts.

 

  1. Assist with reviewing Foundation Scholarship Applications.

 

  1. Assist the Director of First Impressions with switchboard coverage as needed.

 

  1. Stay abreast of Oklahoma School Laws related to Finance.

 

  1. Abide by all policies and procedures adopted by the MTC Board of Education.

  1. Perform other duties and tasks assigned by the Executive Director of Finance.

 

Work Hours:

7:30 AM – 4:30 PM, Monday through Friday, with the option of choosing a 30-minute or one-hour lunch break.

 

Physical Demands:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to occasionally lift items weighing as much as 25 pounds.

 

Standards of Performance

The Accounting Clerk will be evaluated on the previously listed responsibilities based on Meridian Technology Center’s Performance Review Guidelines.  These evaluations will determine salary increases and career advancement possibilities.
