Qualifications

Bachelor’s degree or appropriate certificate of training preferred.

 

Excellent customer relations skills.

 

Must be proficient in Microsoft Office, emphasis in Excel and Word.

 

Demonstrated experience in working with databases and performing data entry.

 

Excellent typing and letter composition skills.

Essential Job Functions

  1. Greet and welcome individuals who come to the Peak at South Campus (guests, prospective clients, instructors, vendors, etc.). Direct visitors to the appropriate person and/or office.

 

  1. Engage with tenants of the Peak and assist with troubleshooting facility issues and/or connecting them with resources and services provided by Meridian.

 

  1. Facilitate daily operations of the coworking program including assisting potential new clients, responding to client issues and registering new clients.

 

  1. Maintain all BES and Film Industry Training program files.

 

  1. Assist in preparing client lease agreements for Peak and Center for Business Development.

 

  1. Send monthly tenant invoices and track payment for Peak and Center for Business Development.

 

  1. Prepare move-in and move-out notifications for internal staff.

 

  1. Enter data and maintain client information in the customer relationships management (CRM) database.

 

  1. Accurately enter client, class and student information into the student information system and scan all class folders.

 

  1. Prepare class folders containing the course syllabus and class roster for each class.

 

  1. Prepare and submit (accurately and on time) reports required by the Oklahoma Department of Career & Technology Education in the ODCTE database.

 

  1. Complete necessary in-house written communication including invoices, event sheets, requisitions, memorandums, training agreements, payroll requests, and invoice information sheets.

 

  1. Answer telephones for the BES Department, The Peak and Film Industry Training. Answer questions and provide excellent customer service in assisting clients, students, and coworkers.

 

  1. Manage scheduling process for commercial kitchen and podcasting space and monitor online scheduler.

 

  1. Occasionally provide phone and office coverage, answering and transferring calls for the South Campus, as requested.

 

  1. Schedule meetings, events, and training classes for clients and schedule use of Meridian facilities both South and Main Campus. Serve as host for groups on campus as needed.

 

  1. Prepare instructor class folders containing name tents, evaluations, and instructional materials for training classes.

 

  1. Coordinate printing and binding of course materials.

 

  1. Set up classrooms, when necessary, with equipment and coordinate with the Culinary Arts department or outside vendors when refreshments are requested for meetings.

 

  1. Compile information from class evaluations for easy analysis and review.

 

  1. Order instructional supplies, materials and books when necessary for training classes.

 

  1. Prepare purchase order requisitions for BES and Film staff and instructors.
  2. Monitor and replenish copier and printing supplies for Peak.

 

  1. Assist with preparing materials through Cascade for CliftonStrengths Finder sessions.

 

  1. Research, prepare, and book travel arrangements for BES and Film Industry training staff when requested.

 

  1. Implement and support W&ED Division net promoter score tracking. (Initiative in progress)

 

  1. Promote Meridian Technology Center, its programs, and employees at every available opportunity.

 

  1. Must be able to occasionally lift as much as 20 lbs. (copier paper and training materials).

 

  1. Assist other South Campus staff when necessary.

 

  1. Attend staff meetings as requested by the Superintendent or the Executive Director of Workforce and Economic Development.

 

  1. Utilize work time efficiently and report any exceptions to the supervisor and WED staff.

 

  1. Abide by all policies and procedures adopted by the Meridian Technology Center Board of Education and assist in implementing all policies and/or procedures governing client conduct.

  1. Perform other duties, tasks, or projects as requested by the Superintendent/CEO, Executive Director of Workforce and Economic Development, Director of Business and Entrepreneurial Services or Project Manager, Film Industry Training.

Standards of Performance

The Administrative Professional, Workforce and Economic Development will be evaluated on the previously listed responsibilities to determine satisfactory performance.  These evaluations will determine salary increases and career advancement possibilities.
